An organisation may need information to be accessible in more than one place. A child, player, service user or employee might carry a MIPACE device, while authorised staff keep a separate organisation-owned access point in a controlled location. Both can open the same current profile without creating separate copies of the information.
The access point can fit the setting
A LinkTag Clip or Cord Loop can travel on a bag or kit case. A lanyard or wristband may suit a visible or wearable use. A Sticker or Dot can be placed on a suitable internal marker, folder or equipment record that remains under the organisation’s control. The best format depends on who needs to reach the profile, where it will be used and how the physical device will be protected.
A team manager could keep a controlled sticker register
A football manager or coach might have a secured book or folder containing one organisation-owned sticker for each registered player. If a player needs support during training or a match, an authorised manager can tap that player’s marker and open the current public profile approved by the player or parent. This provides a fallback when the player’s own wearable or bag device is unavailable.
The register should not be left where players, visitors or unauthorised volunteers can browse or tap it. Labels should be proportionate and need not display unnecessary personal details. The organisation should decide which roles may use it and what action staff take after viewing the profile.
The same model works beyond sport
A SEND or pastoral team could keep a secure staff access point alongside a controlled pupil support record. A care provider could use a managed marker within an appropriate staff process. A workplace first-aid or welfare team could use an access point held within its established arrangements. In every case, MIPACE provides a route to selected current information rather than replacing the organisation’s formal records or responsibilities.
Several devices can open one current profile
The person’s own tag and the organisation’s internal sticker can connect to the same profile. When the personal account holder updates the information they have chosen to make public, every active connected device opens that current version. Staff do not have to maintain a handwritten copy of the MIPACE profile for every physical format.
Ownership and profile control remain separate
The organisation manages the physical devices it purchased, including assignment, reminders, release and replacement. The individual, parent or guardian controls the personal profile and approves the connection through their own MIPACE account. Providing another access point does not give the organisation editing control over that profile.
Plan the process before issuing devices
Record which device belongs to which operational purpose, such as “player kit tag” or “manager register sticker”. Decide who can assign and use each device, how approval is obtained, how access is monitored, what happens when someone leaves and how a lost register or device is handled. Test each access point and keep normal safeguarding, consent, emergency and data-protection procedures in place.
