How Organisation Devices Work

A step-by-step look at how a device moves from an organisation's stock into a real child or person's profile , and back again.

1. Devices are provisioned into the organisation

A MIPACE platform administrator adds devices directly to the organisation’s inventory , in bulk, up to 5,000 at once , and each keeps its own permanent MIPACE device ID.

2. A manager creates a person record

An account manager or location manager creates a record for the person the device is for , a pupil, a service user, a team member , and enters that person’s parent or guardian’s email address (or the individual’s own email, where they hold their own account).

3. The account holder is notified

Once the device has been assigned, MIPACE sends a branded email to the named contact. The message identifies the organisation and directs the recipient to sign in to their normal MIPACE account and open Your Devices. There is no separate organisation login or approval link to keep track of.

4. The parent or account holder reviews the request

Inside their own account, they see exactly which organisation is requesting the connection, which device is involved, and which of their (or their child’s) MIPACE profiles it would link to.

5. They approve it

Approving connects the organisation-owned device to the chosen profile immediately. The approval is completed through the person’s existing MIPACE account; the organisation workflow does not create a separate login.

6. A manager can send a reminder

If the request is still waiting, an organisation manager can resend the approval email as a reminder. A reminder does not approve the device, change the selected profile, or give the organisation access to personal information. It simply returns the account holder to the same pending request.

7. The device goes live

The device now resolves through exactly the same public profile engine as any personally bought MIPACE device , a tap shows whatever the profile owner has chosen to make public, kept fully up to date by them.

8. It shows as organisation-owned

In the account holder’s own device list, the device appears as an organisation-owned device linked to them , visible, but read-only from their side. They can’t rename, reassign, deactivate, or report it lost themselves, since it remains part of the organisation’s managed inventory.

9. If the person leaves, the device is released

A manager releases the device back to the organisation’s available stock. The person record and the profile connection can remain in place, but the device itself is freed up to be assigned to someone else.
