Managing Locations & Groups

Every MIPACE organisation is organised into locations and groups, so responsibility can sit with the people who actually manage each part of it.

Locations

A location is a site, branch, or setting within your organisation , a nursery site, a school, a depot, a care home. Creating one only needs a name; contact details aren’t required, so a new location can be added quickly and filled in later.

Location managers

Each location can have its own location manager, added by email , an existing MIPACE account is matched, or a new one created and invited. A location manager is restricted to the location(s) they’ve been mapped to: they can create and manage groups, add or remove group managers, create or remove people, and assign or release devices from the organisation’s available stock, but only within their own location.

Groups

Within a location, people are organised into groups , a class, a team, a shift, a cohort. Each group has a name and an optional reference (a year group, a team code, whatever’s useful for your organisation).

Group managers

A group can have its own group manager , added the same way, by email. A group manager can view their assigned group and the people in it, but doesn’t have organisation or device administration rights.

People

Within a group, each person record links a real individual to the organisation , with a name and the email address of the parent, guardian, or the individual themselves, who holds (or will create) the actual MIPACE account. A device can be selected at the same time a person is added, or left for later.

Deleting a location or group

Deleting a location or group releases every device assigned within it back to the organisation’s available stock automatically , nothing is left stranded, and every action is recorded in the organisation’s audit log.
