The problem
Staff change and shifts rotate, but the people being supported need consistent, accurate information available to whoever’s on duty. At the same time, CQC-regulated providers need to be able to show , not just tell , that access to information is managed properly and that actions taken are recorded.
How MIPACE Organisation helps
The provider creates a person record and invites the individual (or their nominated contact) to connect a provider-issued device to their own MIPACE profile. The person , or the family member who manages their profile , decides what’s on it and keeps it current. The provider’s role stays administrative: assigning and releasing devices, not managing the information itself.
Every organisation-level action is logged automatically: creating a location or group, adding or removing a manager, provisioning a device, assigning it to a person, and releasing it. That log gives a regulated provider a running record of who did what, and when , evidence you can point to, rather than something reconstructed after the fact.
How it’s structured
A service or site signs up as a location. Groups can map to a house, a unit, or a shift pattern, each with its own manager able to see who they’re responsible for and see them logged accordingly.
For CQC-regulated organisations specifically
MIPACE Organisation can support how you demonstrate compliance with the way you manage information access and device provisioning:
- A full audit trail of every device assignment, release, and organisational change , attributable to the manager who carried it out
- Scoped access , location and group managers only see the people and devices within their own remit, supporting the principle of least-privilege access
- No central store of service-user medical data on the provider’s own systems , the information stays with the individual (or their representative), which simplifies the provider’s own data protection position
- A clear device lifecycle , provisioned, assigned, released , that can be reviewed at any time
MIPACE Organisation is a tool that supports evidencing good practice in information governance and device management. It is not itself a CQC accreditation, and it doesn’t replace the provider’s own policies, risk assessments, or regulatory submissions , it gives you records to draw on when you need to show your own processes are working.
Suitable products
Wristbands and cards for day-to-day use; equipment stickers where relevant to a specific setting.
Benefits
- Reduces the provider’s own data-handling and storage burden
- Information stays accurate because the person (or their family) owns it directly
- New or covering staff have consistent access regardless of who’s on shift
- A device can be released and reassigned instantly if someone’s needs or placement change
- An audit log to draw on for internal review or inspection evidence
Limitations
MIPACE doesn’t replace a provider’s own care records, handover process, or regulatory documentation , it’s a fast supplement, not a substitute, and the audit log supports your compliance evidence rather than constituting compliance on its own.
