Helping unfamiliar staff understand a pupil quickly

How concise, parent-controlled information can provide context when a pupil meets supply staff, trip leaders or unfamiliar adults.

Schools work hard to share important information, but real days involve staff changes, trips, clubs and unexpected situations. When an unfamiliar adult needs to understand a pupil quickly, concise information can support a calmer first interaction.

Prioritise what changes the interaction

The most useful wording tells the adult how to communicate, recognise distress and offer appropriate assistance. It might explain that the pupil needs extra processing time, uses a particular communication method or should be approached in a certain way. It should not attempt to replace the school’s safeguarding or support records.

Keep ownership clear

Where a school or nursery provides a MIPACE device, the organisation can manage that device and its placement. The parent, guardian or individual controls the linked profile and approves the connection. The organisation does not gain ownership of the private account or unrestricted access to its contents.

Agree how the device will be used

The school and family should understand where the device will be kept, who may use it, what happens on trips and what to do if it is lost. A device should support existing procedures, not create uncertainty about them.

Review at natural transition points

The start of term, a new class, a residential visit or a significant change in need are sensible times to review the public information. The family should also check that trusted contacts and wording remain current.
