Clear information about how MIPACE™ works, how profiles are used, and the responsibilities of personal users and organisations.
MIPACE is built around controlled information sharing. You decide what information you put into your profile and what you choose to make available through your MIPACE devices. The sections below explain how that works for personal profiles, associated profiles and organisations.
MIPACE™ is an information-access and communication platform designed to help people share important information when it matters. A MIPACE™ profile can be connected to physical MIPACE™ devices, allowing information chosen by the profile owner to be accessed through the device.
You are responsible for the information you add to your own profile and for deciding what information you make available. MIPACE™ does not require you to publish information simply because you have an account or a device.
When a MIPACE™ device is tapped or accessed, it can open a temporary, dynamic profile link. This link is designed to expire automatically. Standard dynamic access expires after 30 minutes, with access for child profiles reduced to 15 minutes.
MIPACE™ is not a replacement for emergency services, medical records, professional judgement or other formal systems of care. It is intended to help people communicate and access information more easily.
Important: Only place information on MIPACE that you are legally entitled to use and share. If circumstances change, information should be reviewed and removed or updated where appropriate.
A personal MIPACE™ user controls their own profile information. Users may have more than one profile and may have multiple MIPACE™ devices associated with their account.
If you add information about another person to a profile, you are responsible for making sure that you have the appropriate permission or other lawful basis to use and share that information.
If someone asks you to remove their personal information, or you become aware that you no longer have permission or a lawful basis to use it, you should review the information and remove it where appropriate.
Where a child’s information is included, the person creating or managing the profile is responsible for ensuring that they have the appropriate authority and permissions to use that information. Where more than one person has parental responsibility, users should act appropriately and consider the rights and interests of all relevant parties.
If you take a MIPACE™ device abroad, you remain responsible for ensuring that you have the right to use and share the information contained in the associated profile. This applies whether you are travelling within the UK, elsewhere in Europe, or internationally.
For example, a parent may choose to use a MIPACE™ device while travelling with their child to help communicate important information if the child becomes separated from them. The responsibility for the information and the permissions supporting its use remains with the profile owner or person managing the profile.
Simple rule: if it is someone else’s information, make sure you are entitled to use it. If that entitlement changes, review the profile and act accordingly.
Organisations may have MIPACE™ devices which are assigned to individuals by name and email address. The organisation does not enter or edit the individual’s personal profile information through the organisation device assignment process.
Before assigning a MIPACE™ device to an individual, the organisation is responsible for ensuring that it has the appropriate permission, authority or other lawful basis to make that association and use the person’s information for that purpose. All users assigned a device will be required to approve the necessary permissions prior to an organisation linking a profile to one of their organisational devices.
The information displayed through an organisation-assigned device comes from the associated personal MIPACE™ profile. The organisation does not gain the right to edit that person’s profile simply because it has assigned a device to them. MIPACE™ reserves the right to restrict, suspend or even exclude an organisation from using MIPACE™ in the event an organisation attempts to breach personal MIPACE™ user rights to change information, details or information for the purpose of organisational needs.
Organisations are responsible for maintaining accurate device assignments and reviewing them as circumstances change. This includes checking devices associated with people who leave, change role or are otherwise no longer associated with the organisation. Holding a personal MIPACE™ user’s assigned to a device longer than reasonably acceptable can result in restriction, suspension, or even exclusion of an organisation in the event personal data is held for leverage, gain or falsification of information by an organisation.
If MIPACE™ receives a legitimate report that personal information is being used without appropriate permission, we may contact the relevant account holder or organisation and request that the information is reviewed and, where appropriate, removed. A reasonable period may be provided for action depending on the circumstances.
Where serious or repeated misuse occurs, MIPACE may take proportionate action under its wider terms and acceptable-use requirements, including restricting or suspending accounts or access to devices.

Organisations remain responsible for ensuring that any personal information they use through MIPACE™ can lawfully be used and shared in the countries and circumstances in which they operate. The same responsibility applies when organisation-assigned devices are used internationally.

Organisations should think of MIPACE as a controlled communication tool: assign devices only where appropriate, keep assignments current, and remove associations when the organisation no longer has a legitimate reason to maintain them.
